What we collect

We only collect what you give us. There is no account to create and nothing you have to sign up to in order to read the site.

When you fill in a form

The enquiry and free audit forms ask for your name, your business, your email address and, if you choose to give them, your telephone number, your website address and whatever you write in the message box. The Podhub booking request also asks which package you are interested in, the dates and times you would prefer, and anything you want to tell us about your show.

When you email or call us

We keep the correspondence itself, along with your contact details, so we can pick the conversation back up.

When you simply browse

Our web server keeps standard logs, which include IP addresses, so the site can be kept secure and running. Beyond that, see our cookie policy.

Why we use it, and our lawful basis

  • To answer your enquiry and quote for work. Our lawful basis is that this is necessary to take steps at your request before entering into a contract, or our legitimate interest in responding to people who contact us.
  • To deliver work we have been engaged to do, and to invoice for it. Our lawful basis is the performance of our contract with you.
  • To keep our records straight and meet our legal obligations, including tax and accounting. Our lawful basis is our legal obligation.
  • To keep the website secure. Our lawful basis is our legitimate interest in protecting the site and the people who use it.

We do not sell your information, we do not pass it to anyone for their own marketing, and we do not add you to a mailing list because you sent us an enquiry. If we ever want to market to you, we will ask first.

Who else sees it

Only the people who need to in order to do the job:

  • Our website host, who runs the servers the site and its enquiry records sit on
  • Our email provider, because an enquiry is also sent to us as an email
  • Our accountant, where the information relates to work we have invoiced
  • Analytics providers, but only if you have agreed to analytics cookies. See the cookie policy

Each of these acts on our instructions and is not allowed to use your information for anything of their own. We will also disclose information if the law requires us to.

Where it is kept, and for how long

Information is held on servers in the United Kingdom or the European Economic Area.

  • Enquiries that do not become work: two years, then deleted, so we can pick up a conversation that goes quiet and comes back.
  • Clients: for as long as we are working together, and then six years after the end of the relationship, which is the period our accounting and tax records have to cover.
  • Server logs: a short rolling period, measured in weeks rather than years.

Your rights

Under UK data protection law you can ask us to:

  • tell you what we hold about you, and give you a copy
  • correct anything that is wrong
  • delete it, where we do not have a reason to keep it
  • restrict what we do with it, or object to us using it
  • hand it over in a portable format, where that applies

Email [email protected] and we will deal with it. There is no charge, and we will come back to you within one month.

Complaints

If you think we have got something wrong, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.

Changes to this notice

If we change how we use your information we will update this page and change the date at the top of it.
